Is there a university email address book available?

Yes, there is. If you want to send emails to faculty and staff members of UA&P and do not know their email addresses, you can use the UA&P webmail system and go to 'Contacts.' You will find a link which says 'Directory' on the left panel. Click on it and you will see all the shared email addresses.

Aside from the UA&P faculty and staff, you will also find the official email addresses of academic and administrative units, and student orgs. You can also use the autocomplete feature of the UA&P webmail client.

What is the email address autocomplete feature all about?

If you are using the UA&P webmail client and intend to send an email to a faculty or staff member of the University, you can use the email address autocomplete feature. Here's how it works:

  1. Start typing in the To: (or Cc or Bcc) box the name of your message recipient. As you do so, you will notice that a list of email addresses that match what you type pops up (see sample image below).
  2. Depending on your auto-complete query, the pop-up box may appear with a thin line separating two areas.
  3. The upper area shows you the email addresses stored in your Contacts. These may also be addresses you have used before.
  4. The lower area displays the University-wide shared contacts. Email addresses of all faculty and staff members of UA&P would appear in this section, if they are not in your Contacts list yet.
  5. Aside from matching faculty and staff email addresses, official addresses of University offices and services also appear. This includes the Registrar's office, the Admissions office, etc.

As of now, email addresses of University students will not show up. You can read more about this issue here.

How can I use my UA&P Account with standard email clients like Apple Mail or Microsoft Outlook?

Your UA&P (uap.asia) account uses the Google Apps platform. This means you configure your email client (e.g., Apple Mail, MS Outlook, Thunderbird) to access mails in uap.asia almost the same way as you configure it for GMail accounts.

Here's a link to a Google online resource that will help you go through the process. Basically, it involves two steps:

  1. The first is to enable IMAP or POP in your uap.asia account. Click on the gear icon of your webmail to go to settings (cf. no. 1). Once you're in the Settings page, select the 'Forwarding and POP/IMAP' tab (cf. no. 2) and enable POP or IMAP, depending on your choice (cf. no. 3).If you do not know whether to use POP or IMAP, this link can help you understand the difference between both. If you choose IMAP, you would need to further specify your preferences (cf. no. 4). Don't forget to save your settings (cf. no. 5).
  2. The second step is to configure your mail client (i.e., Apple Mail, Outlook, or Thunderbird) to receive uap.asia mails. Just keep in mind that you will have to provide the following data when you configure your email client:
    • Username: your-username@uap.asia (don't forget to type your real username and then add @uap.asia)
    • Email address: your-username@uap.asia
    • Password: {your super secret password in uap.asia}
    • Incoming Mail Server: imap.gmail.com (or pop.gmail.com if you chose POP)
    • Outgoing Mail Server (SMTP): smtp.gmail.com

Remember to specify IMAP for the account type if you want to use IMAP.

Can I use another email address when sending an email?

Yes you can!

If you want to customize your 'From' address such that you can use another email address (e.g., your alias) by default when sending or replying to emails, then follow these steps:

  1. Sign in to your uap.asia email.
  2. Click on Settings along the top of any page, and select the Accounts tab.
  3. Under Send mail as, click on Add another email address.
  4. In the Email address field, enter your name and that other email address you own (e.g., alias or nickname address).
  5. Click on Next Step >> and then click on Send Verification. You will receive a verification message addressed to the alias address that you specified to confirm that you own it.
  6. Locate that confirmation message in the inbox. Open the message and and either click the link contained in the message or enter the confirmation code in the Accounts section of your Email settings. (Note: If you do not receive the confirmation email, contact the helpdesk@uap.asia to confirm that the nickname has been configured)

Messages you send will appear to be from the domain alias or nickname. The return-path of the message will indicate your primary mail addresses, but this information will only be visible to recipients who choose to examine the original message header.

Once you're done setting up, now try sending an email

To use a verified custom 'From:' address when composing a new message, pick an address from the drop-down menu in the 'From:' field. If you're replying or forwarding, click change next to the 'From:' field first. You can also choose to automatically use the address to which a message was sent.

To edit the name, configuration or reply-to address for an existing entry, click edit next to the address on your Accounts tab. To delete an address, just click delete.

How can I send email to undisclosed recipients?

If you want to send email to undisclosed recipients, you may do so by following these steps:

  1. Click Compose Mail to start a new message.
  2. Type "Undisclosed recipients <yourEmailAddress@uap.asia>" in the To: field. Remember to replace yourEmailAddress@uap.asia with your email address and enclose it with angle brackets.
  3. Click on Add Bcc and, in this field, type the email addresses of all intended recipients. See to it that you separate each address with a comma.
  4. Compose your mail and voila! Now you can send your email.
